Welcome to Machine Matcher. This Buyer’s Guide explains our complete process — from your first inquiry through manufacturing, shipping, installation, and long-term support.

Our goal is to make buying industrial machinery clear, secure, and fully compliant, while removing the risks typically associated with overseas purchases.

Step 1: Initial Inquiry

Start by completing our contact form or reaching out via email or phone. You can also upload machine specifications directly on our website to begin the process.

Provide Your Details

To prepare an accurate quotation, we will ask for:

  • Machine type and required profiles

  • Material type, thickness, and dimensions

  • Power supply details (voltage, frequency, phase)

  • Profile drawings or sketches (if available)

  • Delivery location and required timeline

The more detail you provide, the more accurate and efficient the process becomes.

Step 2: Quote & Machine Selection

Custom Quotation

Based on your requirements and delivery location, Machine Matcher will issue a custom quotation outlining:

  • Machine specification

  • Manufacturer price

  • Estimated lead time

  • Shipping options

  • Machine Matcher brokerage and project support

Machine Selection & Configuration

We will recommend the most suitable machine for your application. If modifications or upgrades are required, our team will guide you through available options and confirm feasibility before proceeding.

Step 3: Order Confirmation & Secure Payments

Order Agreement

Once specifications and pricing are finalised, Machine Matcher issues a purchase agreement clearly outlining:

  • Machine scope and specifications

  • Payment structure

  • Manufacturing lead time

  • Inspection and shipment process

  • Roles and responsibilities

A detailed profile drawing is provided for approval before production begins.

Payment Structure (Secure & Transparent)

To reduce risk and simplify the process, most customers choose to pay Machine Matcher directly. We then manage and release payments to the manufacturer in stages.

Machine Payment

  • 30% deposit to begin production

  • 70% balance due after inspection and before shipment

Machine Matcher holds and releases these funds to the manufacturer on your behalf.

Machine Matcher Brokerage Fee

Machine Matcher provides procurement, coordination, and risk-management services.

  • 50% due at order confirmation

  • 50% due prior to shipment

Brokerage fees are invoiced separately and are non-dutiable.

Currency

All payments are invoiced and settled in U.S. Dollars (USD) unless otherwise agreed.

Payment Security

All payments are made to Machine Matcher’s UK-based bank account and handled through a controlled, milestone-based release process.

Funds are not released in full upfront and are only paid to the manufacturer once agreed production and pre-shipment milestones are met. This significantly reduces buyer risk compared to paying overseas factories directly.

You remain the Importer of Record, customs documentation reflects machine value only, and brokerage services are invoiced separately to keep imports compliant and transparent.

Step 4: Manufacturing

Production Start

Manufacturing begins once the deposit is received and drawings are approved.

Typical lead times:
8–24 weeks depending on machine complexity and production schedule.

Production Updates

You will receive regular updates during manufacturing, including photos, videos, and progress reports. Any required adjustments are discussed and approved in advance.

Step 5: Quality Checks & Testing

Before shipment, each machine undergoes comprehensive inspection and testing.

Mechanical Checks

  • Roller alignment and calibration

  • Gearbox and drive system inspection

  • Frame and structural integrity

  • Shaft concentricity and runout

  • Bearing condition

Electrical & Control System Checks

  • PLC and HMI testing

  • Motor and inverter performance

  • Wiring and terminal inspections

  • Emergency stop and restart testing

Cutting & Punching System Tests

  • Hydraulic cutting accuracy

  • Blade condition and alignment

  • Punching and notching precision

Dimensional Accuracy

  • Profile width, height, and angle verification

  • Length tolerance testing (typically ±1 mm)

Operational Testing

  • Dry run (no material)

  • Trial run with actual coil

  • Speed testing at rated production capacity

High-Gauge Stress Testing

Machines are tested with thicker material than standard to confirm:

  • Structural strength

  • Load endurance

  • System reliability

  • No deformation or overheating

Safety Verification

  • Guarding and interlock checks

  • Overload protection testing

  • Alarm and fault system verification

Inspection options:
Customers are welcome to attend in person or join via live video inspection prior to shipment.

Step 6: Final Payment & Shipping

Final Balance

Once inspection is approved, the remaining 70% machine balance and final broker fee balance are settled prior to dispatch.

Commercial Invoicing & Customs

For customs compliance:

  • The manufacturer issues the commercial invoice directly to the buyer

  • The invoice shows machine value only

  • The buyer remains the Importer of Record

  • Machine Matcher is not listed on customs documents

This ensures:

  • Correct customs declaration

  • No duty paid on service or brokerage fees

Packing & Shipping

  • Full packing list and container layout provided

  • Shipping options:

    • By sea: approx. 4–8 weeks

    • By air: approx. 1–2 weeks (smaller machines)

All shipping documentation and tracking details are coordinated by Machine Matcher.

Step 7: Delivery & Installation

Receiving the Machine

Upon arrival, inspect the machine for any transit damage before unloading.

Installation Support

Machine Matcher provides:

  • Remote installation guidance, or

  • On-site technician support (if required)

Assistance includes:

  • Setup and alignment

  • Calibration

  • Trial production runs

Operator Training

Training covers:

  • Machine operation

  • Safety procedures

  • Routine maintenance

Step 8: After-Sales Support

Ongoing Support

Machine Matcher provides continued assistance for troubleshooting, optimisation, and technical questions.

Spare Parts & Maintenance

  • Spare parts supplied upon request

  • Preventive maintenance recommendations

  • Long-term support planning available
